1. Event Details

Event Name: Lumina 2026 — Canada's Queer Fashion & Culture Experience

Event Date: September 27, 2026

Venue: Delta Hotels by Marriott London Armouries

Organizer: Queer Hive Magazine

Lumina 2026 is a celebration of queer fashion, culture, art, beauty, and community, bringing together diverse creators, designers, performers, brands, and vendors from across Canada.

2. Registration Fee

A non-refundable registration fee of CAD $10.00 is required to secure the Vendor's participation.

Payment must be sent via E-Transfer to: queerhivemagazine@gmail.com

Please include the following in your e-transfer message:

• Vendor Name

• Business Name

• "Lumina 2026 Vendor Registration"

Vendor registration is only confirmed once payment has been received and approved by the Organizer.

3. Vendor Space

Each registered vendor will receive:

• One designated vendor space

• Access to setup before the event

• Opportunity to sell and promote products/services during the event

• Exposure to attendees, media, influencers, and VIP guests

Vendor space assignments will be determined by the Organizer.

4. Vendor Responsibilities

The Vendor agrees to:

• Arrive on time for setup and teardown

• Provide their own displays, signage, and promotional materials unless otherwise arranged

• Maintain a clean, safe, and professional booth

• Conduct themselves respectfully toward guests, staff, and fellow vendors

• Follow all venue rules and safety requirements

Vendors are responsible for their own inventory, sales transactions, and personal property.

5. Permitted Products

Approved products and services may include:

• Fashion apparel

• Accessories & jewelry

• Beauty & skincare

• Art & handmade goods

• Lifestyle products

• Queer-owned brand merchandise

The Organizer reserves the right to refuse products deemed unsafe, discriminatory, offensive, or inconsistent with the event's values.

6. Liability

The Organizer, Queer Hive Magazine / Lumina 2026, and venue shall not be held responsible for:

• Lost or stolen merchandise

• Damage to vendor property

• Personal injury caused by vendor negligence

Vendors participate at their own risk.

7. Cancellation Policy

If the Vendor cancels participation, the $10 registration fee remains non-refundable.

The Organizer reserves the right to revoke participation for breach of this Agreement or unforeseen circumstances.

If the event is cancelled by the Organizer, vendors will be notified promptly.

8. Media Release

The Vendor grants permission for Lumina 2026 / Queer Hive Magazine to photograph and record:

• Vendor booths

• Products and displays

• Branding/signage

• Event interactions

Media captured may be used for promotional, editorial, marketing, and social media purposes.

9. Code of Conduct

Lumina 2026 is committed to creating an inclusive, respectful, and safe environment.

Discrimination, harassment, hate speech, or disruptive behavior based on identity, expression, race, disability, religion, or appearance will not be tolerated.

Violation may result in immediate removal without refund.

By signing below, both parties acknowledge and agree to the terms of this Vendor Agreement.
